Terms and Conditions
Reservations and Payments
A $300 per person deposit
is required to secure your reservation for land programs. To secure reservations
on a trip departing within 60 days, full payment by credit card is required
at the time of your reservations. Final payment for land programs is due
60 days prior to departure and must be made by check, money order or credit
card.
Tour prices are per person
and based on double occupancy.
For any changes made outside
of 60 days prior to departure which affect destination, departure date,
and/or names, a $50 per person administrative charge applies. Changes within
60 days are subject to RPT’S CANCELLATION POLICY. All changes are subject
to availability and cannot be guaranteed.
Late Bookings: Normally,
our trips fill very quickly and we close our reservations 7-9 weeks prior
to departure. Last minute bookings are subject to availability and may
incur late fees or higher airfare costs.
Cancellations and Refunds
If you cancel your trip,
you must notify us in writing or by fax. We calculate your refund on the
day we receive written cancellation. All refunds will be processed within
30 days of receipt of your cancellation. You will be refunded in the manner
in which you paid: either by check, charge account credit, or both.
Processing Fee: There is
a non-refundable fee of $100 per person for each tour canceled. This fee
reflects only the cost of administering a reservation and is not intended
to be punitive in any way. We realize the majority of those who cancel
their reservations do so out of necessity. This fee can be applied
to rescheduling your trip.
For all cancellations, we
will refund you the cost of your trip less the following per person charges:

Please note that we do not
make any refunds for any unused portion of your trip.
Canceled Trips
RPT reserves the right to
cancel any trip for any reason. In the event that a trip has fewer than
our published minimum, group members who have already made deposits will
be given options that may include: operating the trip with fewer participants
at a higher price; the chance to transfer to another departure or different
program without penalty; or to receive a full refund of all monies paid
to our office. The refund of payments received is the extent of our liability
in this case. Trip cancellation due to insufficient sign-up normally occurs
30-45 days prior to the scheduled departure.
Should logistical problems,
political circumstances, natural disasters, and/or other events and situations
occur that may impede the normal, safe operation of a tour, RPT may offer
an alternative adventure in a different region or country or cancel the
departure. In the case a tour is canceled for the reasons stated above,
we will refund all monies not advanced to our suppliers and will use our
best efforts to recover and refund the remaining balance as promptly as
possible.
Insurance
You must be covered by medical
insurance which is valid overseas. We strongly recommend that you obtain
travel insurance, including coverage for trip cancellation, loss and theft
of baggage, and emergency evacuation. RPT cannot be responsible for
these expenses. We will send you information on insurance available through
RPT. We also offer a waiver to the “pre-existing condition exclusion” when
insurance payment is received in our office with 14 days of your initial
booking.
Group Size
All RPT trips and their
extensions are limited to no more than 10 passengers. All trips and trip
extensions require a minimum number of 6 participants to operate.
We reserve the right to cancel any trip or trip extension that does not
reach a minimum level of participation. Decisions on canceling a trip or
trip extension due to lack of participation will be made approximately
70 days prior to departure. Please note that if RPT cancels a trip extension
for which you are booked, you are still subject to the cancellation penalties
as described in this policy should you subsequently decide to cancel your
basic (main) trip.
Passports and Visas
A valid passport is required
on all RPT trips. Non-U.S. citizens are advised to contact the appropriate
consular office for entry requirements pertaining to their adventure.
Responsibility
The responsibility of RPT
is strictly limited. As a tour operator, RPT organizes, promotes, and sells
tour programs consisting of certain travel services, including but not
limited to: surface transportation, excursions, and accommodations which
RPT purchases or reserves from various suppliers. The suppliers providing
travel services for RPT’s tour programs are independent contractors and
are not agents or employees of RPT. To the extent that RPT is involved
in the sale of air transportation to you, RPT acts as an agent of the air
carrier. For all other purposes, RPT does not act as an agent for any party
whatsoever. RPT is not responsible for the willful or negligent acts and/or
omissions of such suppliers or of any air carrier or their respective employees,
agents, servants, or representative, including, without limitation, their
failure to deliver or their partial or inadequate delivery of services.
All coupons, receipts and tickets are issued subject to the terms and conditions
specified by the suppliers, and/or carriers. By utilizing the travel services
of the suppliers, you agree that neither RPT nor any representative
shall be liable for any accident, injury, costs, property damage, or personal
loss to you or those traveling with you in connection with any accommodations,
transportation, or other travel services, or resulting directly or indirectly
from any occurrences or conditions beyond RPT’s control, including but
not limited to: acts of terrorism, war, defects in vehicles, breakdown
of equipment, strikes, theft, delay or cancellation of or changes in itinerary
or schedules.
RPT reserves the right to
increase the tour price in the event of cost increases due to changes in
air fares, currency fluctuations, park fee increases, or fuel surcharges.
RPT reserves the right to decline to accept or retain any person as a member
of any tour or to cancel or alter the tour without notice. RPT is not responsible
for expenses incurred by trip members in preparing for the trip (e.g. non-refundable
advance purchase air tickets, visa fees, equipment, medical expenses, etc.)
or for any necessary additional travel arrangements should you embark from
home before the group departure from Lima Peru. Accommodations are subject
to change.
Medical services or facilities
may not be readily available or accessible during all or part of your trip.
You are responsible to select a trip appropriate to your abilities and
interests. You are responsible for being in sufficient good health to undertake
the trip, to prepare for the trip by studying the itinerary and pre-departure
materials sent by RPT, and for bringing the appropriate clothing and equipment
as advised therein. RPT reserves the right to take photographic or film
records of any of its trips, and to use any such photographic or film records
for promotional and/or commercial purposes.
Medical/Health Considerations
You must be in good health
to take part in any of our trips. RPT can involve outdoor experiences that
may be physically and/or emotionally demanding. Programs frequently take
place in areas where medical facilities are nonexistent and where emergency
evacuation can be prolonged, difficult, expensive, or not available at
all. Every trip is rated according to the difficulty of the activities,
the number of nights spent camping, and the elevations that will be reached,
and to ensure your safety and enjoyment of the program, appropriate training
suggestions are outlined in the Pre-departure Packet for each adventure.
Each trip member will also receive a Medical Questionnaire/Waiver outline
the conditions that can be encountered during their journey. This form
must be signed, completed, and retuned to our office before your departure.
A doctor’s signature is required for group member who are age 65 or older,
for participants with a history of illness, recent injury or hospitalization
or an inherent medical condition, and/or for those on programs rated Grade
IV or V. Once you are confirmed on a trip, normal cancellation penalties
will apply if your doctor does not agree to sign the Medical Questionnaire/Waiver.
We will send you complete
information on the physical requirements for your trip with your pre-trip
materials. In some cases, you may want to discuss these with your doctor.
Be advised immunizations are recommended and sometimes required on most
RPT trips. Your health and safety during your trip are our first concerns,
but RPT is not a medical facility. You should be in good health to participate
in our adventures.
For all trips that include
camping, a basic first-aid kit will be furnished. However, we assume no
liability regarding the contents of this kit, nor with the provision of
first-aid by our guides and staff, or any medical care provided by local
physicians, hospitals, or emergency care facilities in conjunction with
any of our tours. Trip members are required to have a sufficient supply
of personal medications and a suggested Personal Medical Kit list is included
in the Pre-departure Manual. All participants are encouraged to see a physician
prior to their departing the USA. It is understood that RPT is neither
a medical facility nor are our personnel medical professionals, and that
we have no expertise or responsibility regarding what medications or inoculations
are necessary for your safe participation in the trip you have chosen.
Smoking Policy
For your safety as well
as that of your companions, smoking is not permitted in buses or cars,
in Botes, and at most jungle lodges, nor is smoking allowed inside tents
while camping. Stops will be made on overlanding segments during which
smoking will be allowed outside of the vehicle.

on the environments and the communities in which we work. We support conservation
organizations, and use restraint when viewing wildlife. We limit the number
of group members on each trip, and the number of departures. We aim to
be scrupulous in our camp sanitation, and haul our own fuel in deforested
areas. By breaking down cultural stereotypes and stressing appropriate
behavior, our trip leaders work hard to encourage mutual respect between
travelers and local inhabitants.
